“Then, around 2019, the company wanted to intensify their focus on webinar initiatives in line with their goals to shift from SMB solutions to a robust mid-market and enterprise presence.”

“To double-down, we decided to scale up,” says Vipul.  “And keep the frequency consistent. Previously, it was ad hoc — sometimes one webinar a month, two the next, or none. Bringing regularity was key to our strategy.”

Making sure that attendees would have a smooth, engaging, and high-quality experience was paramount to the team, as they wanted the program to help nurture loyalty among prospects and customers.

Hosting a webinar every week is no easy feat, especially if you have to create it from the ground up over and over and over again.

Vipul and his team used Zuddl's webinar duplication feature to replicate webinars effortlessly. With one click, they could entirely copy one of their webinars. This meant they could retain aspects of the webinar, such as the branding, but could make necessary edits (such as the title and description of the webinar and guest speakers) and launch it as a new webinar. It helped to significantly reduce the time and effort it would have taken to set up four new webinars each month.

(2) Professional and polished experiences for attendees

Team VWO put extra care into perfecting every detail for an outstanding webinar experience using a blend of platform features.

  • Keeping the webinar top of mind: The team sent out reminder emails to keep registrants informed and engaged in the lead-up, which helped boost attendance. With Zuddl's out-of-the-box email templates, reminders were super easy to set up and customize.
  • High-quality video production: Using built-in tools, Vipul’s team customized the webinar run of show with branded start-screens, overlays, and transition images and music between sections of dialogue - all of which gave each webinar a unique story arc, and helped to create a continual sense of excitement and curiosity.
  • A smooth webinar flow: With the Backstage feature, Team VWO could coordinate behind the scenes with speakers, making sure that everything was moving without a hitch so that attendees had the benefit of watching a cohesive, professional production.
  • Tools to keep everyone engaged: Q/A, Chat, and Polls had a dual benefit. The team used them to keep attendees engaged during the webinar and collect pertinent information about prospects and customers - for instance, a poll to gauge interest in a VWO demo. 

“By adding music, filler videos, start screens, and on-screen questions to our arsenal, I was certain that these small but nuanced features would help improve the overall experience for attendees and create an engaging atmosphere that kept them coming back for more,” says Vipul.

(3) Clean bi-directional data flow with Zuddl’s integrations

Of hundreds of tools considered, Vipul chose Zuddl for its powerful integrations.

  • Marketo: “Seamless data flow was one of the primary requirements we were looking for in a webinar tool because we rely heavily on native automation,” he explains. The team was intent on no third party in the middle of the data flow - such as a Zapier integration - between VWO’s webinar platform and their automation solution - Marketo.

“Zuddl let us capture pertinent information about an attendee, such as their registration and engagement data  - for instance, if a prospect indicated an interest in a VWO demo - and push it directly to Marketo,” shares Vipul. From here, the data could be shared directly with other tools.

  • Wistia: Using Zuddl's Wistia integration, the VWO team efficiently edited and distributed webinar recordings within a remarkable 24-hour timeframe. “The integration eliminated the manual download and upload steps,” Vipul says. “Once the recording is complete, it goes directly to our designated Wistia folder, and from there, we can easily edit it into it and share it.”
